What a Move-Out Inspection Checklist is

A move-out inspection checklist records the condition of a rental when the tenant leaves. It notes the inspection date, whether the tenant was present, whether the property was compared against the move-in record, whether all keys came back, the cleaning, and any damage or excess wear, with photos where you took them.

A table lists each area with its condition, the damage found and an estimated cost, and a deductions table totals the estimates. The checklist says those figures are estimates from the inspection: it does not finalize the deposit. The final accounting goes in a separate security deposit return letter, which LeaseCraft also builds.

The tenant signs to acknowledge a copy and can list anything they disagree with; if they were not present or declined to sign, the checklist records that and how a copy was sent. Most states do not allow deductions for normal wear and tear and set a deadline for returning the deposit, and those rules differ by state.

When to use it

  • A tenant has moved out and you are inspecting before returning the deposit.
  • You want damage and estimated costs written down room by room.
  • You are comparing the property with the move-in checklist.
  • The tenant was not present and you need to record that a copy was sent.

What to have ready

You will need answers to these 10 required questions, spread over 4 steps. The questionnaire also has optional questions, and some answers lead to follow-ups. Your answers are kept in this browser for 24 hours, so you can come back and finish (how saving works).

Why build it from your answers?

A blank form leaves you to work out what belongs on each line. The preview is free, and the files come with a LeaseCraft membership ($2.99/month or $19.99/year).
